Drop the stack, Ada files it
Upload entire folders at once — mixed, unsorted, in any order. Ada identifies the document type, extracts what can be extracted, and files it with the case it names. You do not have to decide beforehand what you are uploading.
Including the plotter TIFF and the iPhone photo
Two formats sit exactly where the legacy archives are: the large-format scanner writes TIFF, often a whole set of plans in one file, and the iPhone on site writes HEIC. Ada converts both before reading — and the set of plans stays one document with its pages. Your original file is never touched, and the photo’s location data never reaches any text recognition.
Filing with evidence, not a hunch
Ada looks for your existing records INSIDE the document — not the other way round. Only what genuinely exists is ever proposed, and every match carries the passage it was found in. You see not just where Ada filed a page, but what it recognised.
The serial number beats any address
In trades and building technology the filing is at its strongest: a serial number names exactly one device, and it appears on almost every inspection report. From there Ada walks the chain upwards — asset, site, customer. That is a lookup, not a guess. Make and model alone bind deliberately weakly: the same boiler hangs in a hundred buildings.
What is ambiguous is not decided
If two people in a building share a surname and the letter only says “Ms Meier”, Ada assigns no person — the page stays with the property and you decide. An open assignment is visible and closed in seconds. A wrong one would never be noticed, because a document in the wrong file looks perfectly normal.
Three hundred decisions become one
Ada bundles like assignments and presents the group, not the page: “47 invoices, all for one property”. Unclear groups come first, so your attention lands where it is needed — not on the forty-seven obvious ones.
And when something fails: you learn what
With a thousand pages the key question is not “did it work” but “what exactly did not, and on which page”. The import log names the reason in plain language for each affected document, a recommendation, and whether a retry has any prospect at all. You know which sheet to rescan instead of blindly repeating a batch.
A poor scan is more dangerous than no scan
A page that was not read at all is visible. The dangerous one is the page that — at 150 dpi, fed crooked, half in shadow — produces something plausible: a house number that exists, just the wrong one. Ada measures how confidently each page was read and tells you: “poorly legible, 58 %, please check”. It is still processed, because the address and date are often still there. It is simply no longer passed over in silence.
A stack of old paper never touches a live contract
The import creates and links — it never changes an existing record. So an old termination letter in the archive does not end a tenancy; it becomes a deadline on the calendar, filed with the same case as the letter, reminding you 14, 7 and 1 day ahead. You decide in five seconds whether the contract needs anything. Otherwise a misread year would end a tenancy that is still running — and nobody would notice.
Undo, not regret
A committed batch can be rolled back completely. Only what this import created is removed — existing data stays untouched, and where someone has since worked on a record by hand, Ada says so instead of quietly taking it along.
